Turn a bulk chair quote into a cost checklist. Separate goods, origin services, freight and destination charges, and keep unquoted items visible.

Chair Import Costs: Build a Worksheet from the Quote to Your Destination

Short answer

Start with the exact chair configuration, quantity and named quotation basis. Add only the costs outside that price, identify who will quote each missing service, and keep pending amounts separate from confirmed subtotals. A goods-plus-freight estimate is incomplete when destination handling, import charges or final delivery remain unresolved.

A unit price helps a furniture dealer shortlist products. A shipment worksheet helps the same buyer understand what must still be paid and confirmed before placing an order. Use it for a defined business requirement and destination, with current quotations for that route.

The existing EXW and FOB guide explains delivery terms. This worksheet handles the next step: recording cost coverage, preventing duplicate charges and showing which amounts are still missing. It does not provide market freight rates or a universal delivered chair price.

1. Write the quotation basis above the numbers

Record the model and configuration version, chair quantity, colour split, packing specification, currency, quotation date and validity. Mark accessories and options as included, separately priced or pending. A photo with a footrest does not by itself put that footrest inside the quoted price.

If an Incoterms rule is used, write the rule, edition and exact named place or port. ICC guidance distinguishes delivery, costs and risk. For container handover to a carrier or terminal, discuss whether FCA matches the actual arrangement. Do not silently rename an agreed FOB quotation. Keep payment timing and price validity in the commercial record as separate terms.

  • Link the goods quote to its configuration and packing revision.
  • State the destination port and final delivery location needed for the requested service.
  • Ask for a dated inclusion/exclusion list rather than relying on the trade-term abbreviation.

2. Assign an owner to every missing cost

Use the table as a request list. In the status column, distinguish included in goods price, separately quoted, pending and not applicable. Mark an item not applicable only when its treatment has been checked for this shipment.

Ask the seller to explain goods and agreed origin coverage. Ask the forwarder for transport and handling coverage, and the destination broker for local clearance and tax treatment. These roles may be combined in one service, but each charge should appear only once.

    3. Compare subtotals without disguising missing amounts

For each line, record the amount, currency, charging unit and quantity. A rate per carton, per CBM, per shipment or per container cannot be multiplied as if it were a rate per chair. Check minimum charges and quote validity where they apply.

Goods subtotal equals the agreed unit price multiplied by the matching chair quantity, plus separately priced goods options. Add only confirmed additional services outside that subtotal. Keep unquoted costs in a visible pending list. Do not substitute zero and label the result a completed landed cost.

If you convert currencies, record the rate source and date, and identify it as a planning rate when settlement is still in the future. Divide a completed shipment total by the included chair quantity only after the scope is reconciled. In a mixed order, explain how shared freight is allocated between models; an equal split can obscure different packing volumes.

    • Separate actual quoted amounts from planning allowances.
    • Check that origin handling is not counted in both the goods price and a forwarder's total.
    • Show a confirmed subtotal and a pending-cost list until all required amounts are known.

    4. Check the destination before calling the price delivered

Ask which destination terminal, handling, clearance, inspection, storage and final delivery services are covered. State the final address or delivery area and relevant unloading/access needs when requesting door delivery. Agree who handles costs triggered by changes or delays.

Import classification, duty and tax treatment depend on the actual goods and destination. Obtain destination-specific confirmation from the buyer's broker; this article gives no duty rate, exemption or tax calculation. Keep the tax basis and the treatment of any recoverable tax clear in the buyer's own accounting review.

    • Destination port alone does not define final delivery.
    • An ocean-freight quote does not by itself confirm local charges or taxes.
    • Keep quotation expiry and the target shipping window visible.

    5. Close the gaps before accepting a total

Check every included item against the current quote and packing list. If a configuration, quantity, route or packing method changes, ask the relevant party to update its affected lines. Keep the revision that was accepted instead of combining figures from different versions.

A useful follow-up is: Please confirm the included goods configuration, quantity and named quotation basis, then list origin, main transport and destination services as included, separately priced or pending. Please state the validity and any assumptions that would change the amount.

    • Keep goods, origin, transport and destination subtotals traceable.
    • Resolve any duplicate charge or uncovered service before approval.
    • Treat a budget estimate as provisional until the required service quotations are confirmed.

    6. Request a quote for your business requirement

Send the chair model or reference image, expected quantity, business use, and destination country or port. Tell us whether you need a product quotation or also want shipping inputs checked. We will confirm the configuration and quotation scope for that requirement.

Browse the AD-E2 office-chair reference and gaming-chair selection. If you are combining models, use the mixed-order packing brief to prepare the freight inputs. Exact MOQ, price and shipment arrangements depend on the selected version and order.

      Request a bulk-order quote

Send the model, estimated quantity, business use and destination. MOQ and mixed-order availability are confirmed for the selected configuration.

      Buyer questions

Is goods plus ocean freight a final delivered total?

Only if all required remaining services and charges have also been identified and their treatment confirmed. Keep uncovered destination and delivery costs visible.

Should a cost with no quote be entered as zero?

No. Mark it pending. A confirmed zero or included item is different from an amount that has not been quoted.
